An admission is not one event. It is a chain of small steps passed between people. When nobody owns a step, applicants wait, and the college does not know why.
The six steps
- Enquiry, with the registration fee. Every admission starts from a recorded enquiry. A counsellor owns it.
- Application and consent. The applicant fills the form, online or with help at the desk. Privacy consent is recorded before any data or documents are processed.
- Documents checked. Documents are checked against what the programme needs, and approved or sent back with a reason. The admission officer owns this.
- Provisional admission. The application is reviewed and, where it applies, ranked on a merit list.
- Fee challan and confirmation. A challan goes to Accounts. When the fee is paid at the counter, the admission is confirmed.
- Enrolment. The admission number is issued and the student record is activated. The registrar owns this.
Why the owner matters more than the step
Most delays are not slow work. They are work that sits in the wrong person’s pile. Naming one owner per step, and showing the status of every application, turns “where is this applicant?” from a phone call into a glance.
A small test
Pick any applicant from last week. Can you say, in under a minute, which step they are on and who is holding it up? If not, that is the first thing to fix.
