Moving to Tuling

Bring your Excel sheets in, run the old way and the new way side by side, and switch over only when the numbers match.

How long it takes

About five months when you are ready. Up to six when there is work to do first.

Ready

About 5 months

Your data is clean in Excel, and the standard leave, attendance and statutory policies work for you as they are.

Needs work first

Up to 6 months

The sheets need cleaning, or some leave, attendance or statutory rules need custom set-up before we start.

These timelines assume your data and sign-offs arrive on schedule. Staff and payroll come first, and Accounts comes last.

The path

From your sheets to go-live

  1. 1

    Month 1

    Migration

Your Excel sheets go into the system: staff, students, fee structures, leave and attendance records. Leave, attendance and statutory policies are set up.

  2. 2

    Month 2

    Test run

Every module runs on your real data. We find what needs fixing and fix it together, before anyone relies on it.

  3. 3

    Months 3 and 4

    Parallel run

The old way and the new way run side by side, and you compare the numbers. Role-based training happens here.

  4. 4

    Month 5

    Go-live

When the numbers match, the old way is switched off. Extra support stays with you after go-live.

Nothing is switched off until the numbers match. Two months of running side by side means two real payroll and fee cycles are compared before you change over.

Who does what

Each stage, in detail

Migration

Month 1

We take your existing sheets into the system and set up the rules your college runs on.

Tuling team

  • A check of your sheets before we begin, so we know which track you are on
  • Staff, student, fee and leave records loaded from your Excel files
  • Leave, attendance and statutory policies set up and shown to you for sign-off
  • Your Tally kept in place, with fees posted to it

Your institution

  • Share your current sheets as they are used today
  • Name one owner for each department
  • Confirm the policies you want, and sign them off on time

Test run

Month 2

All modules run together on your real data, with nothing depending on them yet.

Tuling team

  • Every module tested end to end on your data
  • Fixes and adjustments made as we find them
  • A short list of anything that needs a decision from you

Your institution

  • Review the results with the module owners
  • Answer open questions quickly
  • Agree that the test run is complete

Parallel run

Months 3 and 4

The old and the new run side by side for two months, and the numbers are compared before anything changes over.

Tuling team

  • Payroll, attendance, leave and fees compared against the old way, cycle by cycle
  • Role-based training for each desk, while real work is happening
  • Differences explained and fixed until the numbers match

Your institution

  • Keep running the old way, and enter the same work in Tuling
  • Compare results with your module owners
  • Sign off when the numbers match

Go-live

Month 5

The old way is switched off, and you work in Tuling.

Tuling team

  • Switch-over planned around your payroll and fee cycles
  • Extra support on hand during the first cycles
  • Help tuning the set-up as real usage shows what is needed

Your institution

  • Tell all staff the go-live date and where to get help
  • Stop entering work in the old way on the agreed date
  • Plan any further modules once things have settled

What stays the same

Change the system, not the way you work

  • Your Tally: fee vouchers keep flowing into the accounts you already use
  • Your people and your way of approving: we set the system up around your rules
  • Your old way, until the numbers match

What we need from you

A few things to have ready

  • Your current Excel sheets, as they are used today
  • One named owner for each department
  • Sign-off on policies and on the parallel run, on time
  • Quick answers to questions during the test run

Enablement

Role-based training

Training is desk-specific, and happens during the parallel run while real work is going on.
